World Routes 2013: Essentials - Meetings, Hotels, Flights & Visa's

World Routes Event Essentials

World Routes in Las Vegas is only six weeks away so to ensure you’re well prepared for this year’s event we’ve put together this check list so you can make sure you don’t forget anything vital!

Pre-Scheduled Meetings

Scheduling for this year’s World Routes will close on Friday 20thSeptember, just four weeks from now! If your delegate package includes a diary of pre-scheduled meetings and you haven’t made your requests yet make sure you get them in as soon as possible to avoid disappointment as diaries are filling up fast!

World Routes delegates can now log into their Routesonline profile and use the new and improved online Meeting Requests System, which made its debut last year when it was used for World Routes in Abu Dhabi, to make meeting requests with other attendees. The new and improved website allows airports, airlines, tourism authority delegates and anyone else with an entitlement of pre-arranged meetings to log-in and submit their requests online. This means that City Pair (airport to airport) requests are now available online in addition to the online requesting feature for airlines.

New for this year delegates can also request to attend the Route Exchange Airline Briefings using the online meeting request system; the Briefings tab can be found at the top of your personal meeting requests page where you will also find an up to date list of the Briefings that are available for you to attend. To begin requesting meetings, delegates should follow the below steps:

  • Register or Log-In to your free personal networking profile
  • Enter your PRC (Personal Registration Code), which you should have received when you registered, into the box displayed on the homepage, ensuring you have selected the correct event from the drop down menu provided.
  • Click the grey & red logo provided and you will be forwarded to your meeting request page.

Draft diaries are now available to view online 24 hours a day, 7 days a week via the personal requests page which will allow all delegates to view the status of their meetings and assist in their preparations.

Preparing for your Meetings

The system also provides delegates with the perfect platform to request and prepare for their meetings at World Routes as, during the requesting process, access to Routesonline company profiles is available helping delegates select the right companies to meet with by providing all the information Routesonline has to offer straight to the central meeting requests page.

Company profiles on Routesonline can provide you with a wealth of information about the company you’re meeting with. Make sure your own company profile is kept up to date and start connecting with other delegates on Routesonline in the weeks leading up to the event. Initiate new, or continue existing dialogue with prospective customers ahead of the meetings which will take place in Las Vegas. Connect now and start networking!

World Routes App

New and improved for 2013, downloading the World Routes App will ensure that all essential information is available at the touch of a button. Along with the floorplan, airline table locations, delegate listings, city guide and social media links, this year’s App also includes an improved event programme area, message wall facility and meeting diary access.

Further details about the Routes App and how to download it will be sent to all delegates prior to the event.

Hotel and Flight Information

If you have not yet secured your flights and hotel reservation, you should do so as soon as possible to avoid disappointment. This year’s event will be held at the Las Vegas Convention Center, one of the world's largest convention centres, which is located just three and a half miles from McCarran International Airport.

There are many hotels to choose from in Las Vegas but, during World Routes, we recommend staying in one of our preferred hotels where Routes delegates will benefit from preferential rates and complimentary transfers to the event venue, networking evening and McCarran International Airport. All hotels are located within 10 minutes of the event venue and it is recommended you book early to avoid disappointment. Click here for more information and to book your World Routes hotel accommodation.

This year Routes are delighted to announce three partner airlines; British Airways, United Airlines and Virgin Atlantic. Each of these airlines has very kindly offered discounted flights to World Routes attendees and details of the various packages and how to book can be found here.

If you have already booked your flight and hotel accommodation for World Routes please ensure the details are forwarded to Katrina Ives to help facilitate event transfers.

Visa Requirements

Make sure you have all the necessary documentation to travel to Las Vegas. Under the Visa Waiver Program, citizens of certain countries do not require a visa to enter the U.S. as a tourist or business traveller if the person meets the applicable requirements. A full list of countries this applies to can be found online. Delegates should also ensure that, if necessary, they should apply for their ESTA approval in advance. All passengers travelling to the U.S. by air or sea under the Visa Waiver Program are required to get a valid ESTA approval in advance.

Visitors from other countries wishing to travel to the U.S. for business may require a visa for entry into the country, be sure to check with your local Embassy to determine the visa requirements for your country. We would urge attending delegates to apply for any necessary visa as soon as possible directly at their local U.S. Embassy or Consulate.

In addition to the visa application form, relevant fees and photos, embassies may also require a letter of invitation from the inviting company. Delegates requiring such a document should complete the electronic request form in full ensuring accuracy throughout.

The above information should ensure you’re prepared for the 19thWorld Route Development Forum...we’ll see you in Las Vegas!
